ADIPEC 2026 Videographer: Filming Your Stand at ADNEC

ADIPEC 2026 takes place from 2 to 5 November at ADNEC in Abu Dhabi. It is one of the largest energy exhibitions in the world: four days of stands, conference sessions, product launches and meetings that companies prepare for all year. A stand at ADIPEC is a large investment, and video is what keeps it working after the halls close: clips while the show is running, a stand film for the sales team and material for next year's campaign.

This guide is for exhibitors and their agencies who are booking a videographer for ADIPEC. It covers what to film, how many people you need, how to get clean sound in a busy hall and what to send the crew so that the four days are planned before the doors open.

What to film at ADIPEC

Decide what you want to publish first, then plan the filming around it. Most exhibitors need some of these:

  • The stand before opening. Design, branding and products without the crowd, filmed calmly before 10:00.
  • Product demos and technology. Close-ups of equipment, screens and models that work as separate short videos for months.
  • Interviews. Your leadership, engineers and partners explaining what is new, in one or two short answers each.
  • Visitors and meetings. The stand busy with people, handshakes, conversations, the scale of the show.
  • Talks, launches and signings. Anything on your stand or on the conference stages where your company takes part.
  • Social clips during the show. Vertical videos of 15–45 seconds that go out the same day, while people still follow the event.

If you need photos for press releases and LinkedIn as well, book a photographer with the same crew, so video and photo do not compete for the same spot on the stand.

How many videographers you need

For a single stand, two videographers is the setup we recommend. One stays with the planned shots and interviews, the other covers visitors, details and anything that happens unexpectedly. Large stands, several product areas or a programme of talks on the stand need more people, and three or more videographers work best with a production coordinator who keeps the schedule.

Think about the days, too. Many exhibitors film the opening day fully and book shorter blocks on the following days for specific talks, signings or VIP visits.

Sound in a busy hall

Exhibition halls are loud, and the microphone on a camera picks up the whole hall. Interviews and vox pops need a separate sound recordist with wireless microphones and the right equipment, so the answers stay clear. Plan interviews in a quieter corner of the stand or just outside the hall, and give each speaker a time slot.

Same-day clips

The first day of ADIPEC is when attention is highest. If you want to post during the show, plan an editor on site: footage goes from the camera to the editor during the day, and short clips are ready in the evening, sometimes within hours. Without an editor on site, the stand film usually comes after the show, on the delivery date agreed before it.

Access and accreditation

Large shows have rules for contractors: badges, build-up times and sometimes restrictions on where filming is allowed. Exhibitors normally register their crew through the organiser's exhibitor services. Check the exhibitor manual early, send the crew names in time and tell the videographers which areas of the venue they may film beyond your stand.

What it costs

Our rates for event filming apply to ADIPEC as well:

  • Videographer: from AED 600 per hour when you book 4 hours or more; shorter bookings cost more per hour, and the minimum booking is 2 hours.
  • Sound recordist with all the equipment, for interviews and vox pops: AED 2,500 per day.
  • Editor on site for same-day clips: AED 3,500 per day (up to 8 hours).
  • Production coordinator for crews of three or more videographers: AED 3,500 per day.
  • Travel from Dubai to Abu Dhabi: about AED 500 per car, and one car takes up to two people of the crew.
  • Editing is quoted separately, by the number and complexity of the videos.

These prices are approximate and exclude 5% VAT. Try the event price calculator with your hours and crew, and confirm the exact figure with our producer on WhatsApp.

Plan it now

The week of ADIPEC is the busiest of the season for video crews in Abu Dhabi, and the best camera positions on a stand are planned with the stand builder, not on the day. Book the crew as soon as your stand plan is fixed. Send us:

  • your hall and stand number;
  • the days and hours you need;
  • the talks, launches and meetings that must be filmed;
  • what you want to receive and by when.
