Conference Video Shot List: What to Film and When

Conferences move fast. Keynotes overrun, panels start early, the most important guest arrives during a coffee break. A shot list keeps the crew focused on what you will actually need afterwards: a highlight film, session recordings, interviews and clips for social media. Use this list as a starting point and adapt it to your programme. Here is how we handle it: event videography.

Before the doors open

  • Exterior of the venue and signage.
  • Empty hall: stage, screens, branding, seating — wide and detail shots.
  • Registration desks being prepared, badges, welcome packs.
  • Exhibition area and sponsor booths.
  • The organising team at work — final checks, briefings.
  • Time-lapse of the hall filling up. See time-lapse and hyperlapse.

Arrivals and registration

  • Guests arriving and being welcomed.
  • Queues and registration, without blocking the flow.
  • VIP arrivals — know names and times in advance.
  • Branded photo wall moments.

Opening and keynotes

  • Wide shot of the stage with the full screen and branding.
  • Medium and close shots of each speaker.
  • Audience reactions: listening, laughing, taking notes, filming on phones.
  • Key slides, if the organiser agrees to show them.
  • Applause and the speaker leaving the stage.

For full session recordings, one camera should stay locked on the stage for the entire talk while another captures the room. Read about how many cameras for an event.

Panels and workshops

  • The whole panel in one shot.
  • Each panellist when speaking, plus listening reactions.
  • The moderator.
  • Questions from the audience — microphone runners, raised hands.
  • Workshops: hands-on moments, small groups, facilitators.

Networking and breaks

  • Natural conversations in small groups.
  • Coffee and lunch areas.
  • Exhibitors demonstrating products.
  • Business cards, handshakes, phones exchanging contacts — details tell the story.

Interviews

Plan three to six short interviews with speakers, partners, sponsors and attendees. Prepare two or three questions for each:

  • Why is this event important for your industry this year?
  • What is one idea you will take back to your team?
  • What would you tell someone deciding whether to attend next year?

Find a quiet corner with a branded background, and use clip-on microphones. Related: testimonial videos that sound natural.

Sponsors and partners

Sponsors often need proof of visibility. List their deliverables in advance: logo on screen, booth footage, a speaking slot, an interview. Film each one deliberately and label the clips.

Closing

  • Final keynote or closing remarks.
  • Awards or announcements, if any. More on this: gala and awards night videography.
  • Group photo moments.
  • Guests leaving, the empty hall — a natural ending shot.

Sound

Ask the AV supplier for an audio feed from the mixing desk. Clean sound turns session recordings into content you can publish; room sound alone is rarely usable.

Photos and live stream

If you also need photography and a live stream, plan positions together so cameras do not block each other. See photo and video at one event. Live streaming is handled by our sister team Fat Cat Live.

After the conference

Plan quick deliverables: a same-day teaser, next-day highlights and later session edits. Read about event recap content.

Common mistakes

  • No run of show for the crew, so key moments are missed.
  • Interviews left to chance during busy breaks.
  • No audio feed from the desk.
  • Sponsor deliverables forgotten until after the event.

Questions people ask

Should every session be recorded in full?

Only those you will publish or share. Recording everything creates hours of footage nobody watches; choose the sessions that matter.

How soon can we have highlights?

A short teaser can be ready the same evening if an editor works on site; a full highlight film usually takes a few days.

How we film conferences

At Fat Cat Media we have filmed conferences, summits and forums across the UAE since 2012. We build the shot list from your programme and deliverables and coordinate with the AV team on the day. See our event coverage service.
